Position Overview

An executive administrator is responsible for assisting the senior management staff in planning strategies and analyzing business decisions to achieve the company's goals and objectives. Executive administrators schedule meetings and handle appointments, as well as helping with the implementation of training and programs for the employees to reach their maximum operational potential and increase productivity to meet projects' demands and ensure the highest customer satisfaction. They must have exceptional time-management and organizational skills, especially on performing administrative and clerical duties as needed, as well as excellent communication skills to respond to clients' inquiries, concerns, and requests.

Essential Job Functions

  • Making daily rounds to make sure processes are running smoothly
  • Building Maintenance for WAV & Team One facility: Scheduling for upcoming repairs, cleaning (wav only), maintenance on HVAC, roof, etc. yearly fall inspections on building to keep up with codes
  • Maintain CFO, COO, Conference Room and OOO calendars, travels & PTO days
  • Company Operator – Answers and directs phone calls as necessary
  • Monitors Admin inbox all day – processing SPA’s, assigning & entering leads, etc.
  • Ordering of all office supplies
  • Registering for Trade Shows – ordering of all show logistics, travels, shipping of show, gathering of all bills for cooping, entering of leads
  • Order promotional items as needed
  • Maintaining of all Marketing COOP/MDF funds for all vendors we re-coop funds from
  • Schedule of vendor technical & sales trainings
  • Acts as Administrative Assistant to President, VP of Sales, COO and CFO
  • Book travel as needed
  • Organizing of company outings, holiday party, luncheons, meetings, etc.

Position Overview

The Warehouse Operations role is responsible for receiving products, filling customer orders, arranging for outbound product shipments and putting stock away in a manner that meets company standards for safety, security, and productivity. Acts as a back-up for the Warehouse Lead. Also, responsible for ensuring that all products are free from damage, and assures that the quantity, quality, labeling, and addressing of orders corresponds to customer specifications or other requirements.

Essential Job Functions

  • Unload and load products in an efficient and safe manner
  • Receiving:
    • Physically count items on packing list/BOL, inspect packages for damage prior to signing for receipt with carrier
    • Determine appropriate bin location to receive items in inventory
    • Safely unpack items, and place in preferred or alternative location using appropriate material handling equipment
    • Receive product into NetSuite, against Purchase Order
    • Report any discrepancies to Purchasing@wavonline.com
    • Scan packing list and attach to item receipt or purchase order in NetSuite
    • All items must be received within NetSuite the same day they are physically received
  • Inventory Management:
    • Ensure all inventory is stored in a safe, neat and orderly manner
    • Ensure all inventory is stored in the preferred or approved alternate bin locations
    • Ensure all bin locations are clearly marked
  • Outbound Shipping:
    • Ensure accuracy of items picked compared to items on pick ticket
    • Ensure proper and accurate packaging of all items
    • Schedule shipment with appropriate carrier
    • Ensure packing list is enclosed with all shipments
    • Ensure proper shipping label is affixed to shipping package
  • Material Handling and Packaging Equipment Use and Maintenance:
    • Perform a safety check prior to using any material handling or packaging equipment
    • Inform Warehouse Lead of anything requiring maintenance or repair
    • Do not use any equipment that needs repair or is not safe to operate
  • General warehouse housekeeping:
    • Place garbage and recycling in appropriate receptacles as items are being unpackaged
    • Sweep floors at the end of the day at minimum
    • Replace all warehouse tools to their designated area at the end of each day; carts, brooms, material handling equipment

Position Overview

The Warehouse Lead is responsible for coordinating and supervising all warehouse activities, acting as a backup for the Warehouse Manager in his or her absence in a manner consistent with the Company’s policies and service objectives.

Essential Job Functions

  • Shipping/Receiving

    • In the absence of the Warehouse Manager, the Warehouse Lead will direct the operations of the warehouse staff to achieve prescribed objectives and goals.
  • Quality
    • Ensure inbound and outbound shipments are accurate and free of damage
    • Communication - Interact with Operations, Purchasing, Inside and Outside Sales, Human Resources, Accounting, Customers, and employees.
  • Safety, Sanitation, Security
    • Maintain security of the warehouse. Conduct operations in a manner that promotes safety. Conduct operations in accordance with OSHA and Safety Data Sheet Standards

  • Equipment

Essential Job Functions

  • Establish rapport (with frequent communication) with key vendors
  • Work internally with purchasing to align forecasts with quarterly product purchases and rotations/returns
  • Communicate sales numbers and forecasts to key departments within the vendor
  • Assist in managing the new vendor onboarding process
  • Assist in coordinating new vendor training and determine new product training cadence
  • Ensure WAV’s sales and technical staff maintain required training, certifications, etc.
  • Work closely with WAV’s Marketing team to maximize MDF opportunities, promos for inventory and additional marketing activities
  • Attend vendor partner events
  • Assist sales staff by providing feedback on products, ancillary products, pricing, establishing BOM’s, aligning vendor engineering/sales talent with WAV sales staff
  • Participate in establishing SOPs (standard operating procedure) related to area of responsibility
  • Communicate lead disposition and reporting to vendors
  • Manage product life cycles and transitions to new products based on supported product lines
  • Assist in developing and finding net new partners and establishing new markets
  • Attend and conduct quarterly business reviews with WAV and vendors upper management
  • Contract review, interpretation, and communication and execution of the requirements
  • Any additional duties as assigned
